Phone trade-in at the POS, with the old phone bought into your stock

A customer pays part of a new sale with an old phone. You record the device and the seller, and the old phone enters your stock.

In Professional

A customer wants the new phone, and has an old one in a bag. Phone trade-in at the POS lets you take that old phone as part of the payment. The sale keeps its full price, and the old phone goes into your stock at the value you agreed.

Take the old phone as a way to pay

On the payment step, choose Trade-in. Scan the old device and fill in one form. Only phones, tablets and laptops can be taken in trade. The sale and the trade-in are saved together.

For example, a customer wants a new phone that costs more than their old one. The cashier chooses Trade-in, scans the old phone and fills in the form. The new phone stays at its full price, and the old phone pays part of it. For the steps at the till, see how to take a trade-in.

Record the seller and the device

The seller’s national ID number is filled in from their customer record, and it is shown in full on the form. A different seller is a different customer. The device is recorded with every code it has. A phone has its serial number and its IMEI, and several codes go in one box, separated by commas. For how one phone is kept apart from every other, see mobile shop POS software.

Receipts and printed invoices show each trade-in with one code and any payout. They never show the national ID number.

For example, the seller is a regular customer. Their record already holds the national ID number, so it fills in on the form. The receipt prints the trade-in with one code, and no number.

Pay out any surplus in cash, bank or wallet

If the old device is worth more than the sale, the surplus is paid out to the customer. The cashier chooses how it is paid: cash, bank or wallet. A surplus is never given as store credit. Each device’s payout is kept with its own trade-in.

Undo a trade-in sale with a void

A void reverses the trade-in in your books as well as the sale. A device that was already in your stock before the trade-in goes back to the state it was in. Correcting a sale that has a trade-in is refused. For a customer who brings goods back, see returns and exchanges.

Buy back used phones on Quick purchase

When you buy a used phone from a customer on Quick purchase, the phone goes through the device panel. A phone that left your stock earlier is received again as the same device. Its price can wait until the phone has been checked. Quick purchase is part of purchases and suppliers.

Know what each bought-back phone cost

A device is costed at the cost it came in at, not at the product’s average. So a bought-back used phone is sold at what was paid for it. A returned or voided device goes back into stock at that same cost.

The device’s page lists each time the phone was in your shop, round by round, on one timeline. Anyone who may see cost also sees the profit of each round.
