Mobile shop software that tracks every phone by its IMEI
Know which phone is which, what it cost, where it is and what warranty it has, from the day it comes in to the day it is sold.
A mobile shop has to know which phone is which. Two phones of the same model can have different codes, costs and warranties. Mobile shop software keeps each phone on its own record, so you can see what it cost, where it is now and what warranty it carries. SellyPOS is mobile shop software for a phone shop. Device tracking is in Professional only.
Record each phone by its own IMEI or serial number
A phone is recorded by its own codes: its serial number and one or two IMEIs. Several codes can be typed in one box, separated by commas. The device type decides which codes each unit asks for. A code belongs to one device only, so an IMEI can never also be the serial number of another phone.
The IMEI register guide explains what that record should hold.
Buy phones in by their codes
On Goods received, a serial-tracked product takes its devices one unit at a time, by scan, paste or range. A code the shop already holds is shown on its row and left out. Each device is costed at the cost it came in at, not the product’s average.
Add devices takes several products in one document. You can also fill it from a supplier’s open purchase order. A pasted list says whether each row is ready, already in stock, sold before or entered twice.
See where each phone is, and what happened to it
The Devices list shows each device’s codes, condition, battery, where it is, when it came in and its price. Each device has a state: In stock, To check, With supplier, Sold or Written off.
A phone’s page lists its history round by round, each time it was in the shop. Checks and price changes sit on the same timeline, and a past event is never edited.
Sell a phone by scanning its IMEI or serial number
Scan a device’s code in the main entry box, and that phone goes into the cart at its own price. Either its IMEI or its serial number finds the phone. The cart line shows the phone’s code, its condition, its approval status and the end date of each warranty cover.
A phone can have a lowest price of its own, and a discount cannot take it below that price. A promotion can also be limited to new devices, so it never reaches a used one. See discount promotions.
Track each phone’s warranty, with its end date
A product can have warranty covers, each with a length in days, months or years. On a device, each cover is for new devices, used devices or every device. A used device can carry the end date its own warranty has left.
Each sale keeps its own copy of the warranty. Changing a cover later does not change a sold phone’s end date.
Take phones back by their code
On a return, a line sold with a phone asks for one of the codes it was sold under, and shows the phone as it was sold. A different phone is refused, with both codes named.
A sellable returned phone goes back into stock at the cost it left at. A phone that is not sellable goes to To check at that same cost. On a purchase return, the phone is picked by its code from the bill, and its exact cost comes off your stock.
What the receipt and invoice show
A phone’s line on a receipt prints its IMEI numbers and serial number, with what the phone is and each warranty cover with its end date. The A4 invoice gives the same details. You choose which device details print on receipts. Serial number, IMEI and condition are on by default, and faults is off. See receipt printing.
Billing and stock for a mobile shop
A phone is added to the cart by its code, and any other product by its name. Search finds every word you type and forgives small typos. An A4 invoice can be printed, or sent on WhatsApp, after a sale.
Each sale and stock change leaves a traceable entry in stock on hand. In Basic and Professional, stock counts can be made by scanning barcodes.
Quick purchase records a delivery, its supplier bill and any payment in one save. On Quick purchase, a phone a customer sells to the shop goes through the device panel. To take an old phone as part of a sale, see trade-in old phones.
Lite and Basic do not record phones by their codes, so device tracking is in Professional only.

Questions people ask
Can I track each phone in my shop by its IMEI number?
Yes. Each device is recorded by its own code: a phone by its serial number and one or two IMEI numbers, a laptop by its serial number, and a router by its MAC address. A code belongs to one device only, so the same IMEI cannot be recorded against two phones. The Devices list shows each device's state, and you can filter by state or type, or scan a code to open its page. A device's page lists each time it came into your shop, with the profit on each round for people who may see cost. See mobile shop POS software with IMEI tracking.
How do I sell a used phone at the price I paid for it?
Each device is costed at the cost it came in at, not at the product's average. So a used phone you buy back is sold at what you paid, and a returned or voided device goes back in at the same cost. For each device you record its condition (new sealed, new open box, used or refurbished), its minimum price, its battery, a faults and repairs note, and whether it is carrier locked and whether its locks are cleared. On Quick purchase, scanning a phone's code opens the device panel. A phone that has left your stock earlier is received again as the same device. Each warranty cover is for new devices, used devices or every device, and a used device can carry the end date of its own warranty. See how to track phones by IMEI.
