Take a customer's old phone as part payment

Take an old phone, tablet or laptop as part payment at the payment step. Scan it, fill in one form, and the sale keeps its full price.

Applies to Professional · Updated 3 Nov 2026

Use this when a customer pays for part of a sale with an old phone, tablet or laptop. The old device goes into your stock at the value you agreed, and the sale keeps its full price. For how the feature works, see phone trade-in at the POS.

What you need

  • The sale, with the products the customer is buying.
  • The old device, with its codes. A phone needs its serial number and its IMEI. Several codes go in one box, separated by commas.
  • The trade-in permission, sale.trade_in. The Trade-in choice needs it.
  • The seller as a customer. A different seller is a different customer.
  • The seller’s national ID number. It is filled in from their customer record. If their record has none, type it on the form.
  • The condition of the device. Battery is optional. Tick Locks removed and factory reset unless the phone is new and sealed.

Steps

  1. Build the sale. Add the products the customer is buying, as you would for any sale.

  2. Choose Trade-in. Go to the payment step and choose Trade-in as the way to pay.

  3. Scan the old device. Scan or type its code in the one box. A device the shop already holds is refused here.

  4. Fill in the form. Choose the exact model. If the model is not in the shop yet, you can create it from the form. Enter every code the device has. Set its condition and checks.

  5. Check the seller. The seller’s national ID number fills in from their customer record and is shown in full. Check it against their card.

  6. Type the agreed value. Type the value you agreed for the device. The sale keeps its full price.

  7. Pay any surplus. If the device is worth more than the sale, the screen shows what to pay the customer. Choose cash, bank or wallet. A surplus is never given as store credit.

  8. Finish the sale. The sale is saved with the device. The device goes into stock with no price of its own until you set one.

If something is not as you expect

  • The device is refused at the scan. The shop already holds it, so it cannot be taken in again.
  • The device cannot be sold yet. A device bought from a customer has no price until you set one, and the counter refuses it until then. Find it under Products, then Devices, then Incomplete, and set its price on its page.
  • You cannot hold or correct the sale. A sale with a trade-in cannot be held, and it cannot be corrected.
  • You want to undo the sale. Void the sale. A void reverses the trade-in in your books as well as the sale. A device the trade-in brought back into stock returns to the state it had before.

Questions people ask

Can a customer pay for a sale with their old phone?

Yes. The cashier chooses Trade-in on the payment step, scans the old device and fills in one form. The sale keeps its full price, and the shop buys the device into stock at the agreed value. If the old device is worth more than the sale, the surplus is paid out in cash, or by bank or wallet as the cashier chooses. It is never given as store credit. The seller's national ID number is filled in from their customer record. Receipts show each trade-in with one code and any payout, never the national ID number. See phone trade-in at the POS.
