Bulk edit products in one spreadsheet-style grid

Change prices, names and stock for many products in one grid, check every change, and undo a saved bulk edit within 24 hours.

In Basic, Professional

When a supplier raises every price, you should not open each product in turn. Bulk edit products lets you change many products in one grid, then save them as one change once you have reviewed it.

Choose the products first

Pick the products you want to change. You can choose by category, with or without its sub-categories, or by brand. You can choose a supplier’s products, an option such as a size, or a filter. You can also take the lines of a goods received, a purchase order or a stock count. Several choices add together into one set.

Edit many products in one sheet

The chosen products open in one wide sheet, with the product name in view as you scroll. Each column you may change can be typed in.

Barcodes, tags, pack-level prices, warranty covers, device type and product kind are read-only or left out. A sheet never creates a product or a variant. A column you may not see is not shown at all.

Paste a block from Excel

Copy a block from Excel, such as a column of new prices, and paste it into the sheet. It fills from the cell you have selected, in the same shape. If you copy one value and select many cells, that value fills every selected cell. A paste never creates a product or a row, and locked cells are skipped.

Change many prices by a percentage or an amount

Change selected sets a price, or raises or lowers the chosen prices by a percentage or an amount. It then rounds the result to 1, 5 or 10, or makes each price end in 9.

A sale price that would go past the MRP is held at the MRP, unless you choose otherwise. Scheduled price changes are not part of bulk edit. For a discount that runs between two dates, see discount promotions.

Edit stock in a spreadsheet grid

Type the count you have on the shelf in the stock column. The sheet keeps the figure it loaded, so only the difference is recorded. Each reason you choose becomes one stock adjustment at the location you are working in. The reason starts at Stock correction, and you can change it.

A product tracked by lot is changed lot by lot, in a pop-up.

Review every change before you save

Press Review and save. Every change is listed with its old value and its new value, grouped by product. The changes are saved together, or none is saved.

If someone else changed a field while you worked, the review shows a conflict, and you choose whether to put your value in or keep theirs. A stock count that has moved since you loaded it is a conflict too.

Undo a bulk change within 24 hours

A saved bulk edit can be undone for 24 hours. The undo puts back the old values, and reverses the stock changes with new documents that name the originals. Nothing is edited or deleted.

Open the Bulk edits panel from the top bar to find it. An undo that would take a product’s stock below zero is refused, or you are asked first, depending on your shop’s stock rule.

Your changes are kept if the program closes

Unsaved changes are kept as a draft on this computer and offered back when you open Bulk edit again. A draft never changes the shop.

Products with variants stay together

A product with variants shows as one band, with its variants indented under it. A value typed on the parent row reaches the variants only for the columns they all share, such as category, brand and unit. Sale price and stock differ between variants, so change those on the variants. For sizes and colours, see sizes and colours.

Questions people ask

Can I change the prices of many products at once?

Yes. Choose the products, then use Change selected to set a price, or to raise or lower the chosen prices by a percentage or an amount. The result is rounded to 1, 5 or 10, or made to end in 9. A sale price that would go above the MRP is held at the MRP unless you choose otherwise. Review lists every old and new value before you save, and changes are saved together or not at all. A saved bulk edit can be undone for 24 hours. See bulk edit products.
