Record each phone by its code, its cost and its state

A phone is kept one at a time, with its own code, its own cost and a state. You can see each one's history from the day it came in.

7 things it does

Record each phone by its own IMEI or serial number

Professional only

Can I record each phone by its own IMEI or serial number? A device is recorded by its own kind of code: a laptop by its serial number, a phone by its serial number and one or two IMEIs, and a router by its MAC address. Several codes can be typed in one box, separated by commas.

Without it

Phones of the same model look alike on the shelf. Without a number of its own, you cannot tell which phone a customer bought, or which one came back.

With it

Each device is recorded by its own code. A phone takes its serial number and one or two IMEIs, and a router takes its MAC address. You find a device by typing its code.

Each kind of device asks only for the codes it uses, so a phone does not ask for a MAC address.

Stop one IMEI from being recorded against more than one phone

Professional only

Can the same IMEI be recorded against two different phones? A code belongs to one device only, whatever its kind, so an IMEI can never also be the serial number of another device.

Without it

A code typed in by mistake can land on another phone's record. Then the same number appears twice, and nobody knows which phone it belongs to.

With it

A code belongs to one device only, whatever its kind. An IMEI can never also be the serial number of another device, so each record is one phone.

The shop keeps each code once, across every kind of code. A serial number, an IMEI and a MAC address all follow the same rule. So an IMEI that is already the serial number of another device cannot be recorded again. Each device record therefore stands for one phone, and its history stays with that phone.

Sell a used phone at the price you paid for it, not a shop average

Professional only

Is a used phone that I buy back sold at what I paid for it? A device is costed at the cost it came in at, not the product's average, so a bought-back used phone is sold at what was paid for it. A returned or voided device goes back in at that same cost.

Without it

You buy a used phone at one price and sell it later. If the shop uses an average cost for the product, the cost you see is not what you paid for that phone.

With it

Each device keeps the cost it came in at. When it sells, that cost goes with it. A returned or voided phone goes back into stock at the same cost.

The value of your stock is the total of the phones you hold. A phone you buy back from a customer is sold at what you paid for it. If a sale is returned or voided, the phone goes back into stock at the cost it left at.

Know at once when a phone you receive is already in your stock

Professional only

What happens if I receive a phone whose IMEI is already in my stock? The code is shown as a conflict beside the line, with the choice to remove the line, open the device or receive it again. A code of a device that has left is the same device coming back, and its history comes up first.

Without it

A phone comes in on a delivery, or a customer brings a phone back, and its code is already on file. Without a warning, you may enter it twice or miss its history.

With it

The line shows the code as a conflict, with the phone's record beside it. You can remove the line, open the phone, or receive it again. A phone that has left comes back with its history first.

When a code is already held by the shop, the phone's record appears beside the line as a conflict. Receiving it again keeps that same record, and records its new cost.

  • buy back used phones
  • warn me when an IMEI is already in stock
  • receive a phone again that the shop sold before

A returned phone that cannot be sold waits to be checked, not sold again

Professional only

What happens to a returned phone that I cannot sell again? A returned device that is not sellable goes to To check, and the Check this device action puts it back in stock once it is checked. A return with a write-off disposition sets the device to Written off.

Without it

A customer brings back a phone that is damaged or not right. If it goes straight back on the shelf, the next customer may buy a phone with a fault.

With it

A phone that is not sellable goes to To check. Once you have checked it, use Check this device to put it back in stock. A write-off return marks the phone Written off.

A returned phone you cannot sell again goes to the To check state, not to the shelf. Once you have checked it, use Check this device, and the phone goes back into stock. If the return is a write-off, the phone is marked Written off instead and does not go back. The phone's record shows which state it is in.

Other ways people ask this
  • what to do with a returned phone in POS software
  • track returned phones until they are checked
  • returned phone written off in shop software

See at a glance which phones are in stock, sold, to check or written off

Professional only

Can I see which phones are in stock, sold, to check or written off? The Devices list shows each device's codes, condition, battery, where it is, when it came in and its price. Each device has a state chip, and you can filter by state or type or scan a code to open its page.

Without it

A phone shop holds many phones in different states. Finding out which are sold, and which are waiting to be checked, means searching through papers or asking staff.

With it

The Devices list shows each phone with a state chip. Filter by state or type, or type a code to open that phone's record.

Each phone has a state chip, showing whether it is in stock, sold, to check or written off. The cost is shown only to people who may see it.

  • electronics shop software that shows phone stock
  • see which phones are sold in my shop
  • filter phones by state in POS software

See a phone's full history, with the profit on each time it was in your shop

Professional only

Can I see each time a phone came into my shop and what I made on it? A device's page lists its history round by round, with the profit of each round for anyone who may see cost. Checks, price changes, facts changes and variant changes sit on the same timeline, and a past event is never edited.

Without it

A phone comes in, is sold, comes back, and is bought again. Its history is scattered across papers, and you cannot tell what the shop made each time it came in.

With it

The phone's page groups its history by each time it was in the shop. Each group shows its profit, for people who may see cost.

A phone's page groups its history by each time it was in the shop. Each group shows the profit made on that time, for anyone allowed to see cost. Checks, price changes, changes to the phone's details and changes of variant are listed on the same timeline. A past entry is never edited, so the history stays as it happened.
