Keep track of expiry dates and write off what has passed
Set expiry dates on the goods that need them, see what is about to expire, and write off what has passed its date, earliest delivery first.
7 things it does
Track expiry dates on food and cosmetics, not only medicines
Basic and Professional
Can I track expiry dates for products that are not medicines? Expiry tracking is set per product, so food, cosmetics and other goods can carry expiry dates, not only medicines.
Without it
Milk, bread, juice, cosmetics and baby formula carry dates too. A shop that cannot see those dates can lose money, and sometimes a customer.
With it
Expiry dates can be set on the goods you sell, so food, cosmetics and other goods carry their own dates. Medicines are no longer the only goods with a date.
Juice, cosmetics, batteries and baby formula can carry dates, as medicines can. Expiry is not only a pharmacy matter. Once it is switched on for a product, its deliveries ask for the date.

Expiry dates work even when a carton has no batch number
Basic and Professional
Can I record an expiry date without a batch or lot number? A delivery of stock can carry an expiry date with no batch number. The earliest-expiring stock is selected first, and an expired product is blocked.
Without it
Some cartons come with a date printed on them and no batch number. Without a number to type, the date is easy to lose, and the shop cannot tell which goods to sell first.
With it
Record the date alone for a delivery. The earliest-expiring stock is taken first, and an expired product is blocked at the counter.
You enter the date, and the stock is kept by that date. When you sell, the stock that expires first is picked first. An expired product is blocked at the counter, and you are warned when a product is near expiry.

Set expiry, return and warranty rules on each product
Basic and Professional
Can I set an expiry return window and a warranty on a product? On a product's Expiry & warranty tab, set the return window days, the discount window days, what happens when stock has expired, whether the supplier takes it back, and the warranty months and terms.
Without it
Stock near its expiry date loses value, and a warranty is easy to forget. Without a written rule, each case is decided from memory, and some are missed.
With it
Each product carries its own rules for expiry, returns to the supplier and warranty. You set them once, on the product, and they stay there.
The rules stay with the product.

A report of what expires in the next 30 days
Basic and Professional
Which products will expire in the next 30 days? Expiring soon lists products that expire in the next 30 days, with days left, value at cost, the day received and the supplier.
Without it
Stock that is close to its date sits on the shelf, and nobody sees it until it has gone. By then there is little to do but write it off.
With it
The Expiring soon report lists what expires in the next 30 days, with days left, value at cost, the day it arrived and the supplier.
For each one it shows the days left and the value at cost. It also shows the day the stock was received and its supplier. Use it to see what needs attention while there is still time.

See what is about to expire, and what has already expired
Basic and Professional
Which of my stock is about to expire, or has already expired? The Batches and expiry page lists stock that is expiring or has expired, by expiry date or by batch. Write off an expired row to move it into an adjustment for that batch.
Without it
Stock goes past its date quietly on the shelf. Without a list, you find out only when a customer picks it up, or when it is too late to act.
With it
One page lists the stock that is expiring or expired, by date or by batch. Write off an expired line and it goes into an adjustment for that batch.
Sort it by expiry date or by batch, and search by product, code or batch number. Each row shows the quantity, the days left and, for people who may see cost, the value. Expired stock stays in the stock value until you write it off, and the page says so. Write off opens an adjustment for that batch, with the batch already chosen.
See which stock is about to expire, or has, and by when.

Write off expired stock from the earliest delivery first
Basic and Professional
If I write off expiring stock, which batch does it come out of? For a product tracked by expiry date, a write-off with no batch chosen takes the stock that expires first, spread across deliveries if needed.
Without it
When expired stock is written off, it can be unclear which delivery it came from. Choosing the wrong one leaves the stock records wrong.
With it
Write off an expiring product without picking a delivery, and the stock that expires first is taken out first. It can be spread over more than one delivery.
Write off a product that is tracked by expiry date and leave the delivery empty. Where one delivery does not hold enough, the rest comes from the deliveries after it. You do not have to work out the dates yourself.

Trace a batch from its supplier to every place its stock went
Basic and Professional
Where did a batch of stock come from, and where did it go? Trace a batch to see its supplier and expiry, where its stock went, what remains at each location, and any overrides.
Without it
A supplier calls about a batch that may be faulty or recalled. Without a trace, it is hard to say which sales or shelves it reached.
With it
Type the batch number and see its supplier, its expiry date, each sale, return and move it went to, and what is still on the shelves.
Open a batch from the Batches and expiry page to trace it, or type its batch number in the Batch trace card on Reports. The trace shows the supplier, the expiry date and when the batch was first recorded. Below that it lists where the stock went: sales with their customers, returns and adjustments, with the quantities in and out.
