Give each person the access their job needs

Set up who can do what before the first shift, and change it when people move on. Nobody sees a screen or button they do not need, and the last active administrator cannot be removed by mistake.

6 things it does

Set the administrator's password and a four-digit PIN at setup

In every edition

What password and PIN does the administrator account need? The administrator account takes a password of at least 8 characters and a PIN of exactly four digits. The option to use the PIN as the default login method is off by default.

Without it

A new shop needs one person who can sign in and run everything. If the login is left unclear at the start, it is hard to sort out later.

With it

The administrator password must have at least eight characters, and the PIN must be exactly four digits. The PIN is not the default way to sign in until you switch that on.

SellyPOS suggests a username. The option to use the PIN as the default way to sign in is off at the start. The page explains what that choice means before you turn it on.

Give each person only the screens and actions their job needs

Basic and Professional

Can I give a cashier only the screens and actions they need? There are eight shipped roles, including Cashier and Viewer. What a person can see and do depends on their role.

Without it

If everyone sees every screen, a new cashier can wander into pages meant for the owner. Mistakes and misuse both become easier.

With it

Each role decides what its people can see and do. Screens and buttons a person may not use do not appear at all, so the screen stays simple for them.

The shop has eight roles to start with, including Cashier and Viewer. Each role decides what its people can do, and the shop can change any of them. Screens and buttons a person is not allowed to use do not appear. Figures a person may not see are removed from the page, not blanked out.

Other ways people ask this
  • give cashiers only the screens they need
  • pos software with roles for cashier and manager
  • hide reports from cashiers in shop software

One Owner role, so Owner means one set of powers

In every edition

Is there only one Owner role in SellyPOS? There is one Owner role. A shop that had a second role also called Owner has those people moved to the Owner role, and each move is audited.

Without it

Two roles on the list both read as Owner, but they held different powers. Giving someone the Owner name did not tell you what they could do.

With it

There is one Owner role with one set of powers. A second role also called Owner has its people moved into the Owner role, and each move is written in the audit log.

The Owner role is the one that used to be called Administrator, and it holds the same powers the second Owner role held. That second role is retired, so it no longer shows on the list, and its people move into the Owner role. Each move is written in the audit log with the old and new role. A person who held both roles keeps only the Owner role. Only the Owner role can see profit. A power that the shop added by hand to the second role is not copied across.

Add a staff member with just a name, and give app access when needed

Basic and Professional

How do I add a new employee and let them sign in? Add a staff member with just a name. Then give app access, pick a role, and the person chooses a four-digit PIN on the spot. Owners and managers also set a password.

Without it

Some people who help in the shop do not use the till. A login for each of them makes the staff list harder to read.

With it

Add a person with only a name. When they need the till, give them app access, a role, and a PIN they choose at the counter.

A staff member is one record, and it can exist without app access. Give app access when the person needs to sign in, and choose a role for them. A person who has a history is archived, not removed, so their record of work stays.

Other ways people ask this
  • add a helper to the staff list without a login
  • pos staff list with a PIN for each cashier
  • give a new employee a PIN at the counter

A forgotten PIN is put right without losing anyone's history

Basic and Professional

What do I do when a staff member forgets their PIN or is locked out? Reset a person's PIN, or unlock a locked-out person and reset their PIN at once. Archive someone who has left. A person who has done anything cannot be removed, only archived.

Without it

A cashier forgets their PIN on a busy morning and cannot sign in. The queue waits while someone looks for the owner. A person who has left still sits on the list, and it is unclear what to do with them.

With it

You reset the PIN from the person's page, or unlock a locked-out person and reset it in one go. A person who has left is archived, and their history stays on the record.

Open the person's page and choose Reset PIN. The person then types a new PIN for themselves. If someone is locked out on this computer, choose Unlock and reset PIN to do both at once. When someone leaves, choose Archive. A person who has done anything in SellyPOS cannot be deleted, only archived, so what they did stays on record. The last active administrator cannot be archived or have their access removed.

Other ways people ask this
  • how do I reset a staff member's forgotten PIN
  • software that lets the owner reset a cashier's PIN
  • what to do when a worker is locked out at the till

The last administrator cannot be removed by mistake

Basic and Professional

Can I remove the last administrator of my shop by mistake? No. The last active Administrator cannot be deleted, suspended or demoted. A user with history is archived instead of deleted, so the records still show who did each action.

Without it

A wrong click on the staff list could take away the only administrator's access. The shop would then have no one left who can run its people.

With it

The last active administrator cannot be archived, suspended or demoted. The screen refuses the change, so the shop keeps an active administrator.

Their app access cannot be removed either.

Other ways people ask this
  • stop the only admin being removed from my shop software
  • can I remove the last administrator by mistake
  • pos software that keeps one administrator active
