Which software does a medical store need?

A checklist of what a medical store should expect from its software: the MRP held as a ceiling, expiry dates, lots, medicine details and a backup.

By Selly Systems · Published 3 Nov 2026

A stock list of medicines by batch and expiry date, with expired, expiring soon and in date labels.

A medical store sells medicines that expire, that carry a printed price and that come in lots. Its software has to handle all three every day. So you may ask which software a medical store needs. This page gives a checklist first, then shows where SellyPOS stands today.

What a medical store should expect from its software

Use this list before you buy. Ask the vendor to show each point on the screen, not only in a brochure.

  • A price that cannot go above the printed price. The maximum retail price (MRP) on the pack should be the highest price the till accepts.
  • An expiry date for every delivery. Each delivered line should carry its own date, so the stock that expires first can go first.
  • Lot numbers. If one batch has a problem, you should be able to find the sales that came from it.
  • A list of stock that is about to expire. You need to see it in time to act, not after the date has passed.
  • Medicine details. A generic name, strength, dosage form and storage conditions help staff answer a customer’s question at the counter.
  • A place for your drug licence on the receipt. Your licence number and your pharmacist’s details should print in the words your country uses.
  • Purchases from suppliers. Each delivery and each supplier bill should be recorded, with what you paid.
  • A barcode scanner at the counter. Scanning avoids typing a medicine’s name, which is often long.
  • A record of who changed what. Price changes, voids and stock changes should say who made them and when.
  • A backup you can restore. Keep a copy of the shop’s data somewhere other than the computer it runs on, and check that the copy opens.
  • Selling when the internet is down. A power cut or a dead connection should not stop the counter.

Ask two questions before you buy. What happens when someone types a price above the MRP? What does the counter do with a batch that has expired? A clear answer to both tells you more than a long feature list.

Where SellyPOS stands

SellyPOS is medical store software for a medicine shop. Here is what it does for each point above. The full page is medical store and pharmacy software.

  • The MRP is a ceiling. A price typed above the MRP is refused. No setting and no approval allows it. A receipt shows the amount saved below the MRP, and that saving is never booked.
  • Expiry dates and lots are in Basic and Professional. Each delivered line takes its own expiry date and lot number. The counter offers the batch that expires first, and an expired batch is refused or warned about, depending on the product’s expiry policy. The Batches and expiry page lists stock that is expiring or has expired. The Expiring soon report lists products that expire in the next 30 days.
  • Supplier purchases are recorded against the deliveries. A supplier bill is entered against the goods it covers, and it never adds stock a second time.
  • The scanner can be tested. The scanner tab has a box to try a scan before the first sale.
  • Medicine details are optional. The generic name, strength, dosage form and storage conditions can be recorded. A product saves without them.
  • The drug licence prints. A pharmacy records its licence number and the pharmacist’s details. The licence line takes your country’s own wording. They print on the receipt and the A4 invoice, when the receipt design switch is on.
  • Sensitive actions are recorded. Each one keeps its before and after values. Nobody can edit or delete those records from the application.
  • Backups are in Basic and Professional. You can back up the shop’s data to a folder, now or every day. Lite has no backup.
  • Selling works offline. A sale can be finished with no network connection.

SellyPOS does not keep a prescription register.

Lite is free for ever. It holds up to 20 products, and it has no batch or expiry tracking. Basic and Professional are a one-time payment for each licence, after a 7-day free trial. The amounts are on the pricing page. Choosing between Lite, Basic and Professional explains the differences.

Questions people ask

How does SellyPOS handle MRP and expiry dates for medicines?

No price can go above the product's MRP, and no setting or approval allows it. A typed price above the MRP is refused. A receipt shows the MRP and the amount saved below it, and the total You saved counts it once. The saving is only shown and is never booked. Expiry dates can be typed as month and year. Expired stock is refused at the counter or warned, depending on the product's expiry policy. Selling an expired batch needs a reason from the shop's own list, and a cashier without the permission needs a supervisor's approval. A medicine's generic name, strength, dosage form and storage conditions can be recorded. They are asked for, never required. See pharmacy POS software.
