Managing customer credit
Set a credit limit and credit period for each customer, record the payments they make, and see who owes what on their account.
A regular customer can take goods now and pay later. In Basic and Professional, you decide how much they may owe, record what they pay, and read their account on the screen.
Set how much each customer may owe
Set a credit limit for each customer, and a credit period in days. The credit period sets when each credit sale falls due. A limit of zero means the customer buys only for cash. Leave the limit blank for unlimited. Only people with permission can set an unlimited limit.
Record a payment the customer brings in
- Open the customer’s account. It shows what they owe.
- Enter the amount the customer pays, and choose how they paid.
- Add a reference, the date and a note if you need them.
- Record the payment. Their balance goes down by that amount.
A payment entered wrongly is not edited. It is voided instead, so the record of it stays. A payment is not matched to a particular invoice, and no receipt is printed for it.
Read who owes what
The top line of a customer’s account says in words who owes whom. It might say the customer owes the shop, or that the shop owes the customer. The amount sits beside those words, so you do not need to read a sign or work out which way the money runs.
See a customer’s statement for any period
- Open the customer’s account.
- Set the dates of the period you want to see.
- Read the statement on the screen. It shows the opening balance, each payment and sale, and the closing balance. It says who owes whom.
The statement is shown on the screen only. It is not printed.

Yes, in Basic and Professional. Each customer has a running balance: credit sales add to it, payments they bring in reduce it, and you can see who owes what at any time.
