Number and lay out your invoices

A full-page invoice needs a number that shows where it came from, and a layout your customers will recognise. These settings give you both, and let you check a sample before a real one goes out.

4 things it does

Invoice numbers in the pattern your shop already uses

Basic and Professional

Can I set my own prefix and number length for invoice numbers? Each document type has its own number series, with a prefix, a suffix, a zero-padded length, a start and an increment. The branch, register, year, month or day can be put into the number.

Without it

Each shop numbers its papers in its own way. A plain count can hide which branch or which till made a sale, and that is hard to sort out later.

With it

Each invoice carries the prefix, the year, the branch or the till you chose, so the number itself tells you where the sale came from.

Each kind of document has its own number series, so sales invoices are counted apart from your other papers. For each series you choose a prefix and a suffix, and how many digits the number has, with zeros in front. You also choose the starting number, how far it goes up each time, and when the count starts again.

Each document type counts its own numbers, in the form you set.

A voided invoice number is never handed out again

Basic and Professional

Can a document number be used again after a Void? A number is never used twice, even after a Void. A gap in a series is allowed and can be reported with a reason.

Without it

A voided bill gives its number back, and the next bill can take it. Then two papers carry the same number, and nobody can tell which one is real.

With it

A number is used once and not again, even after a Void. If a number is missing from the sequence, you can see a report of it, with the reason.

A document number is used once and then it is spent for good. If a sale is voided, its number stays with it, and the next sale takes the number after it. A gap in the count is allowed, because a voided sale leaves one. Each gap can be reported, with the reason written beside it.

  • missing bill numbers report in the software

Choose how your A4 invoice is laid out, with or without the logo

Professional only

Can I choose how my A4 invoice is laid out? Invoice design lets you pick Standard A4 or Compact A4, choose whether the logo prints, and set the folder invoices are saved in.

Without it

A business customer asks for a formal invoice, and the page looks cramped or shows a logo you did not want. Each invoice should look like one shop's papers.

With it

You pick Standard A4 or Compact A4, decide whether the logo shows, and name the folder where invoices are saved. Each invoice then follows the same pattern.

Invoice design sits in Setup, and it sets the look of your A4 invoice. You also name the folder where invoices are saved. The rest of the invoice comes from your business details, the customer and the sale. It does not add terms, a signature space, bank details or an amount in words.

Other ways people ask this
  • A4 invoice layout with or without logo
  • pos invoice design for a business customer
  • turn the logo on or off on invoices

Check your full-page invoice before a customer asks for one

Basic and Professional

What does the A4 invoice printing page in Setup show me? The page shows the one A4 invoice the shop prints, what it carries and a first-page preview of a made-up sale. Sample PDF opens a sample invoice marked SAMPLE, and the folder invoices are saved in is set here.

Without it

A customer asks for a proper invoice on A4 paper, and you have not seen how it looks. You find out only while the customer is waiting, and a mistake is awkward to fix then.

With it

Setup shows the invoice and a preview of a made-up sale. Sample PDF opens a sample marked SAMPLE, so you can check the layout before a real one goes out.

Open Setup and choose the A4 invoice printing page. Press Sample PDF to open a sample invoice with a SAMPLE band across it. The same page sets the folder where your invoices are saved. The preview shows the first page only, and IMEI and warranty are not printed on the A4 invoice.

Other ways people ask this
  • how to see a sample invoice before printing
  • pos software a4 invoice preview and sample pdf
  • choose the folder where invoices are saved
