Receive the delivery and check it line by line

When the goods arrive, you check each line against the order and its price, in this order.

3 things it does

  1. Record a delivery against its order, or without an order

Receive a delivery against its purchase order, and the lines come up filled in, so you change only what differs. A short delivery keeps the rest of the order open for later. A delivery can also be recorded with no order. Products that track serial numbers cannot be received here, and damaged or rejected goods are not recorded on it.

A short delivery is recorded as it is, and the rest of the order stays open.

  2. Write the expiry date down on the day the goods arrive

When you receive goods from a supplier, the receiving screen asks for an expiry date on each line. You enter it once for that line, and it is kept with the goods on that delivery. The date belongs to those goods, not to the product in general. Near-expiry warnings are worked out from these dates.

  3. Decide, line by line, whether a new delivery price becomes your cost

Each delivery line is checked against the cost the product has on file. Answer yes, and the new cost becomes the product's cost from then on. Answer no, and the product keeps its cost. Only a person allowed to see and change product costs can answer yes.
